Program Coordinator – Q City Metro

About the role: Onsite Program Coordinator
To ensure high quality tutoring sessions and a positive experience for volunteers and school staff, Heart Tutoring provides an onsite program coordinator at each school site. The Program Coordinator is present at their assigned school during tutoring sessions where they assess students and monitor instruction, in addition to providing ongoing training and real-time coaching to tutors. The coordinator is also Heart’s liaison with the school, streamlining communication with teachers and welcoming volunteers. The coordinator will establish and maintain relationships between different stakeholders: with students, families, guardians and school staff.
About the organization: Cardiac Mathematics Tutoring
We believe that volunteer tutors can be a powerful resource for students if given tools and support, and we believe that all children can understand math at high levels. We focus on students who may not have the resources to access tutoring and who are labeled as “economically disadvantaged” in school records. To date, 98% of Heart students have achieved program growth goals, and more than 90% of math teachers report that students show increased enthusiasm and/or confidence in academics as a result of program.

Job Responsibilities: Key responsibilities are listed below.
• Supervise the growth of 50-60 math students and their enthusiasm for academics;
• Manage and support 50 to 80 weekly volunteers; and
• Liaise with teachers, school staff and families.

Tasks will include, but not be limited to:
• Become an expert in curriculum and core assessments;
• Provide initial training and ongoing support and communication to tutors;
• Communicate with school staff regarding program, students and scheduling issues;
• Communicate with families regarding student and program updates;
• Design and maintain student and volunteer calendar using Salesforce;
• Coordinate and complete student assessments;
• Manage tutoring material;
• Attend weekly team meetings and quarterly professional development trainings;
• Report various operational information to the program manager;
• Partner with the Heart team to provide and receive feedback, with the goal of assisting the organization’s efforts to establish a strong and scalable program model.

The Program Coordinator will also be called upon to play a support role in:
• Coordination of spatial and temporal logistics with school staff; and
• Act as an ambassador for Heart with personal networks, the Charlotte community and the school site.

HMT is recruiting three types of Program Coordinators for the 2022-23 school year that encompass the above duties and responsibilities:

On-site program coordinator with on-site tutoring

On-site program coordinator with virtual tutoring
▪ The program coordinator is on site
▪ On-site students
▪ Virtual tutors via Zoom
▪ Troubleshoot technology for students/tutors
▪ Accompanies groups of students to/from tutorial sessions

On-Site Program Coordinator Support Specialist
▪ The program coordinator is on site
▪ The program coordinator is trained in both models (in-person and virtual tutoring)
▪ Supports and provides coverage at Heart Schools sites in Charlotte

Typical work week
• A Program Coordinator will generally work 20 to 24 hours per week with hours in a school day schedule. In total, about 12 hours are spent supporting tutoring at your school site, and a coordinator will spend about 8 hours per week on staff meetings and check-ins, scheduling, communications, and IT work.

Desired skills and background
A successful person in the role of Program Coordinator will likely have all or most of the skills/background below, which are listed in order of importance.
• Strong belief that all students can learn and have the potential to succeed at grade level or above
• Strong communication and relationship building skills
• Ability/willingness to quickly acquire expertise in teaching, learning and assessment
• Strong organizational skills and attention to detail
• Experience working with a low income population
• Desire to work with primary school students
• Computer skills and/or ability/willingness to learn programs including but not limited to Word, Excel, email and contact management, Salesforce, file sharing systems (Dropbox and Google Drive), Jamboard and video conferencing platforms (Zoom or Google Meets).
